3. Purposes and Legal Basis of Data Processing

Personal data is processed for the following purposes:

• Providing access to the RS Roofs.AI system, user authentication and authorization functions - legal basis: performance of a contract (Art. 6(1)(b) GDPR);
• Password creation and reset - legal basis: performance of a contract (Art. 6(1)(b) GDPR);
• RS Roofs.AI subscription sales and invoicing - legal basis: performance of a contract (Art. 6(1)(b) GDPR);
• Marketing of own products and services - legal basis: legitimate interest of the controller (Art. 6(1)(f) GDPR);
• Handling complaints and providing maintenance services - legal basis: performance of a contract (Art. 6(1)(b) GDPR);
• Informing about new system versions, features and updates - legal basis: legitimate interest of the controller (Art. 6(1)(f) GDPR);
• Processing early access registration requests - legal basis: consent (Art. 6(1)(a) GDPR) and pre-contractual measures (Art. 6(1)(b) GDPR).

4. Categories of Personal Data

We process the following categories of personal data: company name, NIP/VAT ID, email address, phone number, contact person name, and any additional information voluntarily provided through our forms.

5. Voluntary Nature of Data Provision

Providing personal data is voluntary, but necessary in order to conclude an agreement with the Company, use the RS Roofs.AI system, or register for early access.

6. Data Retention Period

Personal data will be stored for the duration of the contract, and after its termination for the period required by law or necessary to secure potential claims, or until consent is withdrawn. For early access registrations, data is retained until the service is launched and the registration is converted to an active subscription, or until the data subject requests deletion.

7. Data Recipients

Your personal data may be shared with entities that process data on behalf of the controller, including hosting providers, email service providers, payment processors, and IT service providers. Data will not be transferred to third countries outside the European Economic Area without appropriate safeguards.

• Right to withdraw consent - where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of processing carried out before the withdrawal (Art. 7(3) GDPR).

9. Right to Lodge a Complaint

If you believe that the processing of your personal data violates the GDPR, you have the right to lodge a complaint with a supervisory authority. In Poland, the supervisory authority is the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych - UODO), ul. Stawki 2, 00-193 Warsaw, Poland.

10. Automated Decision-Making

Your personal data will not be subject to automated decision-making, including profiling, which produces legal effects concerning you or similarly significantly affects you.
